Terms of Service

These Terms form a contract between you and SJC Distributions Limited ("Shiftloop", "we", "us") governing your use of the Shiftloop service at shiftloop.co.uk. By signing up or using the service, you agree to these Terms.
Plain English: Use the service for what it's designed for, pay on time, be decent to other users, and we'll do our best to keep it working. Either of us can walk away whenever — no lock-ins.
1. The service
Shiftloop is a web-based task management service for multi-site operations teams. We provide the software; you provide your own content (tasks, staff, data).
2. Your account
- You must be at least 18 years old and authorised to enter into agreements on behalf of your business.
- You are responsible for keeping your login credentials secure.
- You are responsible for all activity that happens under your workspace, including by staff you invite.
- One workspace per business. Creating multiple workspaces to avoid per-site pricing is a breach of these Terms.
3. Free trial
- New accounts get a 30-day free trial of all features.
- No credit card is required to start the trial.
- When the trial ends, your workspace becomes read-only until you subscribe. Your data is preserved for 60 days.
- If you don't subscribe within 60 days, your workspace and all data are permanently deleted.
4. Subscription & payment
- Subscriptions are billed monthly in advance, per site, via Stripe.
- Pricing is £19 per site per month (single site), with volume discounts: £17 (2–4 sites), £15 (5+ sites). VAT is added where applicable.
- Prices may change with 30 days' email notice. Existing customers retain their current rate for the notice period.
- If payment fails, we'll retry and email you. After 14 days of failed payment we may suspend the workspace.
5. Cancellation & refunds
- You can cancel anytime from Settings. Cancellation takes effect at the end of the current billing period.
- We do not offer pro-rata refunds on monthly subscriptions.
- You can export your data as CSV before or after cancellation.
- After cancellation, your data is retained for 30 days in case you change your mind, then permanently deleted.
6. Your content & data
- You own your data. We claim no ownership over the tasks, comments, attachments or staff records you put into Shiftloop.
- You grant us a limited licence to store, process and display your data as necessary to provide the service.
- You are responsible for ensuring you have the right to add any personal data of staff to the service.
- You must not upload anything unlawful, infringing, malicious, or that violates anyone's rights.
7. Acceptable use
You must not:
- Attempt to breach the security of the service or access other customers' data
- Use the service to send spam, malware or anything harmful
- Resell, sublicense, or white-label the service without written permission
- Scrape, reverse-engineer or clone the service
- Use the service for anything unlawful under UK law
Breach of acceptable use may result in suspension or termination without notice or refund.
8. Availability & support
- We aim for 99.5% monthly uptime but do not guarantee it. The service is provided "as is".
- Scheduled maintenance will be notified in advance where possible.
- Support is by email. We aim to respond within one business day.
9. Changes to the service
We improve the service continuously. We may add, change or remove features. Material breaking changes will be emailed to all account holders at least 14 days in advance.
10. Termination by us
We may suspend or terminate your account if you breach these Terms, if payment remains unpaid for more than 14 days, or if we're required to by law. Where possible we'll notify you first.
11. Liability
To the maximum extent permitted by law:
- Our total liability in any 12-month period is capped at the fees you paid us in that period.
- We are not liable for indirect or consequential losses, loss of profits, loss of business, or loss of goodwill.
- We are not liable for data loss where you have failed to export your own backups and our own backups are unavailable despite reasonable efforts.
- Nothing in these Terms excludes liability for death, personal injury, fraud, or anything else that cannot be excluded under UK law.
12. Confidentiality
We treat your data as confidential. We will only access it to provide the service, investigate problems you report, or if legally required.
13. Data protection
Our handling of personal data is governed by our Privacy Policy, which forms part of these Terms. We comply with UK GDPR and the Data Protection Act 2018.
14. Changes to these terms
We may update these Terms. Material changes will be emailed to all account holders at least 14 days before they take effect. Continued use after that constitutes acceptance.
15. Governing law
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.
